What is Legalesign?

Legalesign is online electronic signature software. Based in the UK, organisations use Legalesign to send documents to be signed, witnessed or approved. Used in the public sector and private by organisations large and small, Legalesign is enterprise-level software with a mature feature-set built to a high compliance and security threshold. Legalesign is ISO27001 Certified, Cyber Essentials Certified, a Crown Commercial Supplier and GDPR-compliant with UK based data centres.

What is Legalesign pricing?

Legalesign web application pricing is per-user and starts at £6/user per month. You can send as many documents as you need, higher price plans increase the features available. So, you only pay more if Legalesign can save you more. Automated features such as the API bulk send or direct links are priced by sent-document.

Is Legalesign available worldwide?

Yes, Legalesign is available worldwide. Our customer-base originates from the UK, US, EU and Canada. Customers should assess the capabilities of the app against the relevant regulations for their documents.

Is Legalesign compatible with all devices?

Legalesign esignature system is compatible with all devices and browsers. The productivity app is best used with a desktop or laptop device.

What is advanced electronic signature?

Advanced electronic signature is a standard for electronic signature defined in Article 26 of EU 'eIDAS' regulation. It offers a stronger form of signature than 'basic' signature (a 'click to agree' signature), but it is not as technologically advanced as the 'qualified' signature standard. The 'advanced' standard defines four hurdles a signing process must meet for a signature to be 'advanced'.

Is Legalesign encrypted?

The service uses 256-bit SSL encryption throughout, both at rest and in transit. The SSL configuration is Qualys A+ Rated.

How do I get more than 1 person to sign a document?

You can have as many signers as you like per document. You can also add approvers and witnesses. Read more about how to add an onother signer.

How is the document made so 'any subsequent change in the data is detectable'?

There are two ways Legalesign secures a document so that subsequent data change is detectable, PDF Certification and 'hashing'. PDF Certification is a facility within PDF that the file can 'self-prove' itself without the need for any other external verification. A 'hash' is a unique set of letters and numbers that a file generates. This is stored by us. Any later change to the document will change its 'hash', and hence can be detected by comparing the hash back to the Legalesign copy. PDF Certification is sufficient by itself, however the hash provides a secondary back up. Read more about PDF Certification.

How is the signing progress tracked in Legalesign?

Yes, when a document is sent there is a real-time interface to show you the progress of each signer. The API also provides a callback system for event updates.

Does Legalesign do audit logs?

Yes, each action in connection with a document is recorded to an individual and logged.

Who uses Legalesign?

Customers range from large multinational financial service companies to small and medium sized enterprises, from across all industries. Legalesign is also in the public as well as private sector, and as part of integrations with other softwares.

How many documents have been signed in Legalesign?

Exluding exceptional items, Legalesign averages around 1,500 documents every working day. Volumes can be significantly in excess of that when bulk send is used. In 2018 Legalesign processed approximately 1M documents.

How reliable is Legalesign?

Does Legalesign meet corporate compliance requirements?

Each corporate compliance department will have its own set of requirements, but Legalesign has not failed to meet compliance requirements to date. Please contact us if you have additional compliance requirements.

Where is Legalesign data located and processed?

Data is located and processed in the UK, emails are routed via Ireland (unless you use your own SMTP). No data leaves the EU. Click here for our privacy policy.

Does the service use near real-time secure data replication?

Yes

I need to send [insert a number here] documents per day/month, what plan do I need?

If you pay per user the system has a fair user limit of 100 docs/user/month. Fair use is required to stop abuse and as far as we are aware this is in excess of most fair use limits offered by other major vendors. If you have specific issues, such as a seasonal spike etc, just let us know so we can adjust - click here for price. Some facilities are priced on a per-document basis (such as bulk send or the API) but if you would like to pay per document let us know.

Why do I need more than 1 group?

As you send more documents or add more users you'll find it becomes more productive to split out different groups. For example if you have multiple sales offices, or different departments it's easier to manage these with dedicated groups. If you want to control access to different documents it also make sense to have groups for each set of documents that have different sets of users.

How do I supervise multiple groups?

Use the group network feature. You can create a hierarchy of groups. A 'parent' group gains oversight over all its 'child' group activities. Create one group which is 'parent' to all your other groups and you will receive a feed of all activity across all your groups.

How can I verify an email is sent from you?

All emails from Legalesign are DKIM Signed. DKIM is a method to cryptographically sign an email to confirm it comes from our servers. For more information see DKIM.org, Wikipedia.

What security do you have?

We operate a suite of ongoing security tools and methodologies for example, constant monitoring including intrusion detection and integrity checking, file checks, scans and file encryption. Access is strictly limited and controlled. While we have counter-measures for attacks on passwords, please make sure your own password is a good one (8 or more characters, mixed digit/letter and upper/lower case), and we recommend changing it intermittently. Legalesign is ISO27001 certified and has extensive security policies in place for operations.

What is your backup recovery plan?

In short, we replicate data across standby machines located in multiple isolated resources in near real-time and take frequent point in time backups. Data is stored in both a highly available and fully redundant way. Despite extensive backup routines we would always recommend you store copies of your signed documents on your own systems too.
